Privacy Policy

ProofRound is operated by RUI SUN. This policy covers getproofround.com and the ProofRound account connection used by ChatGPT and other compatible MCP clients. Contact: rsunshimi@gmail.com.

Information we process

• Account information, including your email, account identifier, sign-in session, and authorization permissions.
• Content you provide or save: resume text and uploaded files, target roles, job descriptions, repository evidence, interview answers, transcripts, and saved feedback.
• When you start voice practice, microphone audio is processed by the voice provider, and practice transcripts and results may be saved in your workspace.
• Operational information, including timestamps, request and error information, browser/session identifiers, referring site or campaign information, device-size category, feature usage, and provider usage/cost records. Hosting providers may also process IP addresses and request logs.
• Support and contact requests, including your name and optional phone number if you provide them, contact email, topic, subject, message, ticket reference, and submission time.

How we use information

We use information to authenticate users, store and retrieve their work, deliver requested practice and feedback, manage usage limits, troubleshoot failures, secure the service, understand product usage, and respond to support and privacy requests.

The ChatGPT and MCP connection

Connecting requires your authorization. The four account tools can list resume names and target roles, retrieve selected saved resume text, list practice history, and retrieve selected saved questions, answers, and feedback. Those results are transmitted to the client you connect, such as ChatGPT, where they may become part of your conversation.

The tools operate on the connected account and do not modify saved records, run new audits, or start paid AI work. The connection does not expose original PDF or Word file bytes. It cannot read an uploaded document that has no saved text version.

Service providers and sharing

ProofRound uses Vercel for hosting and Supabase for authentication, database, and file storage. Website AI features may send relevant submitted content to OpenAI or Anthropic, depending on the feature and configured provider. Voice practice uses OpenAI. Reading existing records through MCP does not itself start a new ProofRound AI generation.

Your chosen connected client processes returned content under its own terms and privacy settings. Support tickets are stored in Supabase and are accessible to the operator through a restricted inbox. Support email is handled through Gmail. When configured, PostHog receives limited product-usage events and pseudonymous identifiers for analytics. Data may be processed in countries other than your own. We may disclose information when necessary to comply with applicable law or protect the service and its users.

Storage and retention

Account information, saved resumes, resume versions, uploaded files, and saved preparation/practice work remain stored while maintained in your account. These saved-library records do not currently have a fixed automatic expiry. Contact support to request deletion; signing out, removing a connection, or hiding a record is not a guarantee of permanent erasure.

Some temporary audit and interview records have access-expiry and purge schedules separate from saved workspace history. An expired view does not mean every saved copy has been deleted. We do not promise that all account data is erased after a single fixed number of hours or days.

Operational records and support correspondence currently have no uniform automatic deletion period. We assess deletion requests against the data needed for support, security, and legal obligations. Backup copies and provider logs may persist under the relevant provider’s retention settings. We will explain any applicable retention limitation when handling your request.

Your choices and requests

You can choose what content to upload, whether to start AI or microphone features, and whether to authorize an MCP connection. You can disconnect through the connected client’s settings. To request access, correction, export, deletion, or to raise an objection to processing, email rsunshimi@gmail.com. We may verify account ownership before acting. Rights and exceptions depend on applicable law.

To remove information already returned to ChatGPT or another client, also use that client’s conversation and privacy controls. Deleting it from ProofRound does not remove independent copies held by the client.

Cookies and local storage

We use cookies and browser storage for authentication, session continuity, saved interface/workspace state, and first-party usage measurement. You can manage cookies and site data in your browser; blocking or clearing them may sign you out or remove locally stored work. Contact support with questions about usage measurement or associated records.

Security and appropriate content

We use account access controls and encrypted HTTPS connections, but no service can guarantee absolute security. Only upload content you have permission to use. Avoid government identifiers, financial account credentials, medical records, and other sensitive information unnecessary for interview preparation. ProofRound is not directed to children under 13; contact us if you believe a child has provided personal information.

Updates

We may update this policy as the service changes. The effective date above identifies the current version. Contact support if you have questions about a change.
